1. What this policy is
This Acceptable Use Policy sets out rules for using the AFS Connect app. It applies to everyone with an AFS Connect account.
It forms part of your agreement with Austral Facility Services (“AFS“) under the Terms of Service. The Terms of Service, the End User Licence Agreement, and the Privacy Policy also apply.
This policy is written in plain language on purpose. If anything is unclear; ask us – see section 9.
If you are a sole trader contracting directly with AFS rather than working for a contractor company, references to your contractor company should be read as references to you.
2. Why these rules exist
AFS Connect records when you start and finish work at a site. Those records are used to check invoices from contractor companies against what was actually delivered.
That means the records need to be accurate. Most of the rules below exist for that reason. A few exist to keep the app and the information in it secure.
3. Your account is yours alone
3.1 Keep your login details private. Do not share your password or account with anyone – not a workmate, not a supervisor, not a manager.
3.2 Do not use anyone else’s account, and do not let anyone use yours.
3.3 If you think someone else has got into your account, tell us straight away at afsconnect@australfs.com.au
3.4 Keep your contact details up to date in the app.
4. Clock in and out honestly
4.1 Clock in when you have arrived at the site and are starting work. Clock out when you have finished.
4.2 Do your own clock-ins and clock-outs, on your own phone, using your own account. Do not do it for anyone else, and do not ask anyone to do it for you.
4.3 Do not clock in early, clock out late, or otherwise record times you did now actually work.
4.4 Do not enter information you know is wrong.
5. Don’t interfere with location or time
5.1 Do not use a mock-location app, GPS spoofing tool, emulator, or any other software or setting designed to make your phone report a location it is not at.
5.2 Do not change your phone’s clock to alter the time recorded against a clock-in or clock-out.
5.3 Do not use the app on a phone that has been jailbroken or rooted.
5.4 Do not use scripts, bots, or automation of any kind to operate the app.
6. Three things that are not breaches
These come up often enough to be worth stating plainly.
6.1 Clocking in or out, away from the site is not a breach. The app will tell you that you are outside the site boundary, and it will still record your clock-in or clock-out. It notifies your manager and the AFS Client Service Manager, so the difference can be discussed. Sometimes there is a perfectly good reason. Just clock in honestly and explain if you are asked.
6.2 Turning off location permission is not a breach. You can decline or switch off location access whenever you like. You can still use the app and still clock in and out. Your records will simply be marked as not verified at the site.
6.3 Telling us about a mistake is not a breach. If you forgot to clock out, clock in at the wrong site, or a record looks wrong for any reason, tell your contractor company or contact us. Raising it is the right thing to do and will not get you in trouble. Trying to hide or cover up a wrong record is a different matter.
7. Using the app and the information in it
7.1 Use the app only in connection with your own work at AFS sites.
7.2 The work details in the app show you – the areas, tasks and requirements for a shift – are AFS’ information. Use them to do the job. Do not copy, publish or pass them on to anyone outside of your work.
7.3 Do not try to access parts of the app, or information in it, that you are not meant to see.
7.4 Do not try to interfere with, damage, overload or get around the security of the app or the systems behind it.
7.5 Do not copy, modify, sell, rent, lend or give away the app software. Your licence to use it is out in the End User Licence Agreement.
8. If you don’t follow this policy
8.1 A person looks at it, not a computer. Nothing in the app automatically penalises you. If a concern is raised, someone at AFS reviews it, usually with your contractor company.
8.2 Depending on what has happened, AFS may:
- contact you or your contractor company to ask about it;
- ask you to correct a record;
- suspend your access to the app while the matter is investigated; or
- end your access to the app.
8.3 You get a say. If AFS suspends your access, we will tell you and your contractor company as soon as we reasonably can, and tell you the general reason unless doing so would get in the way of an investigation or breach a legal obligation. You can respond, and we will consider what you say before making a suspension permanent.
8.4 Losing app access does not stop you from working. Your work is contracted through the purchase order process, not through the app. If your access ends, arrangements for getting your work details and recording your attendance will be made another way – printed rosters and the manual process. See Terms of Service clause 13.1.
8.5 Deliberately falsifying attendance records is serious. As well as the steps above, it may breach your obligations to your contractor company and, in some cases, may be a criminal offence.
8.6 AFS may also take any other action available to it at law. The full position is in Terms of Service clause 13.
9. Questions and problems
- Problem with the app, or something looks wrong: Email afsconnect@australfs.com.au
- Question about the scope of work or hours: your Contractor Manager / AFS Client Services Manager
- Question about your pay, hours or conditions: your contractor company, unless you are a sole trader, in which case your AFS Client Services Manager
- Concern about your personal information: see the Privacy Policy, which explains how to contact AFS and the Office of the Australian Information Commissioner
10. Users under 18
If you are under 18, you can only use AFS Connect where AFS, your contractor company and your parent or guardian have signed an agreement covering your use of the app. See Terms of Service clause 4.3.
11. Changes to this policy
AFS may update this policy. Where a change materially affects what you must or must not do, we will give you reasonable notice before it takes effect.
